1. Responsibilities of President
Objective: “The singular organizational position, primarily responsible to carry out the strategic plans and policies as established by the Committee Members”.
First and foremost, it is the task of the President to ensure that the association complies with the statutes and thus that the association’s purpose is fulfilled.
The representative role of the first board person both internally and externally is an important part of the activities of this association body.
He leads general meetings, is the formative and driving force of the association from a socio-political point of view and mediates as a link between the public and the members.
In detail, these extensive tasks can be broken down into different areas that provide a better overview:
Roles and responsibilities: –
The President of the board of the association and chairs the board meetings.
Supervises the planning, implementation and operation of the blind.
Can also act as spokesman for the association.
Together with Vice President, Treasurer, an authorized signatory for official financial transactions in accordance with the Articles of Association.
Approves all minutes of the meeting together with the other board
2. Responsibilities of Vice-President
Objective: “Support President to fulfill all needs required for the development of association”
Roles and responsibilities: –
The Vice President helps with all tasks of the President.
Acts as authorized signatory in the absence of the President.
Acts as interim president if the office of President becomes vacant until a President is appointed by the board with a two-thirds majority of the board members present.
3. Responsibilities of Treasurer
Objective: “Manage and Report on the Association Finances”.
Roles and responsibilities: –
Responsible for the safekeeping of the cash balance and monitors all financial transactions, both income and expenses, including but not limited to membership fees, sponsorships, donations, events and service-related transactions and operating expenses.
Approves together with the President, Vice President all financial transactions in accordance with AOA.
Maintains a record of all financial transactions required by the Law.
The treasurer ensures the fulfillment of all tax obligations expected of the association.
Presents the above-mentioned documents for auditing and maintaining Association inventory.
4. Responsibilities of Secretary
Objective: “Point of contact to the Committee and Association Members”
Roles and Responsibilities: –
The Secretary carries out all the administrative duties of the Association that enables the
Association and its members to function effectively.
Represents the association when required
Recording and distributing meeting minutes and maintaining all association records
Ensure action items from meetings have been carried out by the committee
Collect and analyze information from the Committee and the Association members
Management of the sponsorship campaign with the support of the members of the association committee.
Support of the President, Vice President, Treasurer
Represent the President when the President and Vice President are removed
Coordination with the association and event managers during planning and implementation.
Promoting the Association to Increase Premium Membership
Is the first point of contact between board, association members and people who are interested in the association activities
Contacting and responding to inquiries from individuals and other organizations via email
5. Responsibilities of Joint Secretary (Cultural or Sports)
Objective: “Support Secretary to fulfill all needs required for the development of association related to cultural activities”
Roles and responsibilities: –
Helps with all secretary tasks.
Takes effect as authorized signatory in the absence of the secretary
Acts as interim secretary if the office of secretary becomes vacant until a secretary is appointed by the board with a two-thirds majority of the board members present.
6. Responsibilities of Executive Committee
Objective: “Leading the operations of the association events by providing support and coordination, managing communication between an association and the public, Designing, developing and maintaining association’s internet page.”
Roles and Responsibilities: –
Responsible for the overall event execution.
Responsible for coordinate events and other cultural activities successfully.
Being a center person/coordinator/communication officer among the event managers
Implementing the directives of association Committee
Responsible for membership activities
Encourage volunteers and members to actively participate in the events
Ensuring action points from Committee meetings
Follow up the Committee decision with respect to Event activities to meet deadlines
Co-ordinates with the association and Event managers during event planning and execution.
Advises the board on all issues relating to cooperation with other organizations and institutions, can make suggestions to the general meeting for the election of new board members, can make suggestions to the board for the agenda of the ordinary general meeting as well as for calling extraordinary general meetings and makes recommendations to the Board.
Responsible of Association e-mail and social networking moderation.
All operational tasks for an event such as ground work, venue selection, stage design, arranging the infrastructural facilities required, food and networking other activities such as advertisement, public relation, ticket sales etc.
Handling of Association Assets
• President and Vice President are legally responsible of managing association assets.
• All data in digital form should be maintained in Association Google Share Drive Repository.
• All Expenses bills, spende and bank statement (originals) are required to maintain it for 10 years.
• All items in the inventory should be updated regularly.
